A Time Off Report is a special type of report that shows the structure of total time offs for a selected period. To view the structure of time off:

  1. Click the Reports section in the main menu
  2. Click the “Time Off” tab in the header
  3. Select the period you want to see the time off for. (Alternatively, you can select a pre-determined date range, including Today, This Week, Last Week, This Month, Last Month, This Year)

How can I see the time off reports

Time off is presented in hours in the reports.

  3. Click “TIME OFF” and then click “Vacation”
  4. Enter the date range of your vacation

 

How to book a vacation

Vacation time off can be seen in My Timers (through the daily or weekly view), in the Timesheets, or a special Time Off report in the Reports section.

  1. Click the “+” button
  2. Click the field “+ Client – Project – Task”
  3. Then click “TIME OFF” and select the type of time off you want to use
  4. Enter the time or time off date range

How to enter/ plan time off

 

You can see the recorded time off in My Timers (through the daily or weekly view), in Timesheets, and in a special Time Off report in the Reports section.

Alternatively, you can start a running timer for time off, but only for the time off types measured in hours, not days.

By default, Time Analytics contains eight types of time off.

Note that some types of time off are entered by the hour and others by the day.

These types of time offs are paid time off (PTO) except the last one. Therefore, when time off is booked, Time Analytics will calculate a cost of employer and allocate that cost to employees based on pay (cost) rate input.

Time off – Types of Time Off (Setup)

 

  • Daily Break – coffee, lunch breaks etc. We suggest tracking daily breaks only if the employer includes such breaks in paid time. If the daily (lunch break) is not paid time off, we suggest not tracking it.

This type of time off is entered into the timer by the hour.

  • Vacation – this is yearly time off the employee gets per the law or an agreement with the employer.

This type of time off is entered into the timer by selecting a specific vacation date or date range from the calendar.

  • National Holiday – Time Analytics doesn’t offer the option of automatic national holiday bookings as each country has different holidays..

This type of time off is entered into the timer by selecting a specific vacation date or date range from the calendar.

  • Sick Leave – represents an absence due to health or a medical examination or treatment.

This type of time off is logged by the hour, as employees may not spend an entire day on sick leave.

  • Personal Time – used for any type of personal time off that doesn’t fall under the rest of absence types.

This type of absence is logged in the timer by the hour, for each day individually.

  • Compensatory time – used as compensation in case an employee had a lot of overtime in the previous period and has an agreement with the employer to be able to use said overtime in the form of time off later. We note that compensatory time isn’t allowed in most countries. In other words, the overtime must be paid for and cannot be compensated.

This type of time off is logged in the timer by the hour, for each individual day.

  • Sabbatical Leave is a period in which an employee takes an extended break from work. That could be for working on a personal project, volunteering, travel, or spending time with family.

This type of time off is logged in the timer by choosing the specific date or range of dates from the calendar.

  • Unpaid Time represents any other type of time off that isn’t paid.

This type of absence is logged by the hour in the timer, for each individual day.

The entries are editable when it comes to the name of the time off, but they can’t be deleted. If you don’t use certain categories, simply don’t log them.

Keep in mind that some types of time off are set to be logged in hours and others in days. Hence, if you are changing the name of the type, you should know that the logging method stays unchanged.
