Assignment of clients to the team member is important because the team member will be able to view only the performance of the selected clients.

In the case a team member hasn’t been assigned a team or a client, they will only be able to see their own performance and the data for the clients they’re working for.

Only Admin and Manager roles can assign and change team members and clients.

The process of assigning team members and clients goes as follows:

  1. Click “Team” in the Manage section
  2. Find team leader, hover over the right icon and click the “Edit” button
  3. Click “Team to Manage” and select the employees you want to assign to this team member
  4. Click “Clients to Manage” and select the clients you want to assign to this team member

Billing rate

Entering the billing rate is important for multiple reasons:

  • The tracked hours by the employee are multiplied by the billing rate. Based on this, you will get a report on income per the employee, project, or client
  • The billing rate is shown in the Daily Timesheet report, so the managers can have an overview of all completed tasks and the billing rates for each task or project

Once you enter the billing rate, it will automatically show in the Tracker when the employee is adding their time. However, when it comes to specific projects, the employee can change the billing rate when they log their time.

Cost rate

The cost rate is important, as the hours logged by the employees are multiplied by this rate. Based on that, you will receive reports on expenses per the client, project and task.

To set up billing and cost rates for a team member:

  1. Click “Team” in the main menu
  2. Hover over the team member whose data you want to change and click “Edit”
  3. Once a window opens, fill in the Billing Rate and Cost Rate fields in the currency applicable to your company

The Delete option permanently deletes an employee from the user list. After deleting them, the employee won’t be able to access Time Analytics. All their logged hours will be visible to other users who have permission to see them. In other words, their time logs will be permanently saved.

The Disable option deactivates an employee. After disabling them, the employee won’t be a part of a team that tracks time in Time Analytics. Hence, the disabled user isn’t considered when calculating the fee you pay for Time Analytics.

To delete a team member:

  1. Click “Team” in the main menu
  2. Hover over the team member you want to delete and click “Delete”

 

 

To disable a team member:

  1. Click “Edit”
  2. Uncheck the “Enabled” button

To edit a team member’s data and parameters:

  1. Click “Team” in the main menu
  2. Hover the cursor over the team member whose data you want to edit and click “Edit”.
  3. Edit roles and permissions (only an Admin can do this)
  4. Edit a user’s email (By changing the email you are also changing the username: i.e., a new member registration will be necessary)
  5. Edit assigned teammates
  6. Edit assigned clients
  7. Changing Cost and Billing rates (Only Admins can make this change)

Time Analytics offers three roles: Admin, Manager, and (typical) User.

Admin has the maximum rights in the system.

Manager is a team member who has at least one person or client to manage. A manager can modify teammates’ timesheets and see their team and client reports.

User is a team member who doesn’t manage a team. A user can create their own tracker, track time for themselves and view personal timesheets and reports.

Only the admin is entitled to set and edit roles for others.

This is how to set roles and permission for users.

STEP 1

  1. Click “Settings”
  2. Click “Roles and permissions”.
  3. Set the permissions for each role.

STEP 2

  1. Click on “Team” in the main menu
  2. Click the “Edit” button for one team member
  3. Define the role for that team member.

 

The team members marked as Admin and Manager will, according to their rights, be able to manage other team members (their subordinates), as well as the clients they’ve been assigned.

If you want to assign a team to an Admin or Manager, click the “Team to manage” button and select the team members you want to assign. This way, the Admin or Manager will be able to view the performance of their team members.

The Admins can see all clients and users by default.

Only Admins can allocate teams and clients, while a Manager can see which team members and clients have been allocated to them.

It’s not possible to allocate teams and clients to manage to the members marked as Users.

Invite members

Only those team members with the role of Admin or Manager can add team members. They can do so as follows:

  1. Click the “Team” button in the Navigation bar (main menu)
  2. Click “Invite Members”
  3. Enter their emails and click “Invite”

Add members manually

  1. If you want to add members one-by-one, click “Add Memeber Manually” (this option is suitable because you can fill in the data on the team members and their working hours, billing rates, etc at the same time) And Fill in the data on each new team member and save
  2. Assign a role (Admin, Manager or User) – learn more about roles and permissions.
  3. Name – enter first and last name
  4. Email – make sure the email is correct as the invitation will be sent to this email
  5. Assign teammates to team member – this is important as this team member will only be able to view the performance of their assigned team.
  6. Select Clients this team member manages – this is important as the team member will be able to view only the performance of selected Clients.
  7. Cost rate (see more on how to calculate cost rate)
  8. Billing rate – the hourly rate that is typically billed to the client by the user
  9. Check the Enable box – if an employee is marked as Enabled they can use Time Analytics. If you uncheck this box, they become Disabled and won’t be able to use the program. Time Analytics’ license doesn’t charge for disabled users, but their previously entered data will still be visible in reports.
  10. Click Save and all data will be saved.

Select permissions for each team member

 

Important notes

  1. If you exceed subscribed number of members (users) by inviting new members, you will be required to pay/subscribe for new users. Before inviting new users, you can check number of subscribed users in billing page.
  2. Once you’ve added the team members, each of them will receive an invitation email for login. By clicking the link in the email, a team member gets a registration form. They will enter the username (their email) and a password into it. After their first login, the team member becomes Enabled.
  3. If a team member tries to sign up directly through the Time Analytics site, the platform will recognize this type of sign-up as a new company, so the employee won’t join an already existing company user account.
