Expense Tracking

 

Designed to offer a transparent overview and complete control over your project expenses, this feature facilitates detailed cost tracking.

It empowers you to efficiently manage both your time and financial resources in a cohesive manner, allowing you to clearly understand where your funds are allocated and maintain comprehensive control over all aspects of your projects.

You can enter your expenses under Manage > Finance. Each expense and fee must be assigned to the date, and project/task.

Steps to create your expenses:

1. Click the button “+ Client – Project – Task

2. If you want to add expenses for a specific client you’re working for, select a client from the list below. (If there are no clients, create one by typing the client name and click on the “ADD” button)

3. If the task you are working on isn’t related to the client, click on the line “ No Client – Internal work”

4. Select a project/ task. (If there are no projects/tasks, create one by typing the project/ task name and click on the “ADD” button.)

5. If there is no project/task, go to Task > / Close >

5. Add expense amount and expense type

6. Enter a date

7. Click Add

 

Fee Tracking

 

Steps to create fees:

1. Click the button “+ Client – Project – Task

2. If you want to add fee for a specific client you’re working for, select a client from the list below. (If there are no clients, create one by typing the client name and click on the “ADD” button)

3. If the task you are working on isn’t related to the client, click on the line “ No Client – Internal work”

Project/ Task data can be edited/ deleted as follows:

  1. Select the “Project” or Task button in the Manage section of the main menu and you will see a list of projects or tasks
  2. Find or search for a project or task you want to edit or delete
  3. Hover over the right icon and you will see the buttons “Edit” and “Delete”

 

Please note:

If you delete a project or task, all data and reports related to it (tracked time, for example) will be saved and visible in Timers, Reports, Timesheets, and the Dashboard.

This is the most efficient option if you want to upload all projects and tasks at once. Only the team members with the roles of Admin and Manager can import projects and tasks.

  1. Click “Settings” in the main menu
  2. Click the Import tab in the header
  3. Download the CSV file and fill/ copy all projects into the Projects column and all tasks into the Tasks column (you can fill and import other categories through this form too – Team Members and Clients)
  4. Save the file to your desktop or a folder
  5. Upload the file by clicking the “Upload” button

This is how you can create a full list of projects and tasks in Time Analytics. You can view and edit projects and tasks by clicking on the “Projects” or “Tasks” buttons in the main menu.

If you repeat the import process (for example you have a new type of project or task you want to import) make sure the list contains only the new projects and tasks to avoid duplication.

Either way, you can always add tasks and projects manually.

You can add projects and tasks one-by-one, or create a new project or task when you add time in the timer.

Option 1

This option entails manually adding projects and tasks one-by-one:

  1. Select the “Projects” or “Tasks” button in the Manage section of the main menu.
  2. Create a new project or task by clicking “Add new project” or “Add new task” on the right side and fill in the client data
  3. Enter the project/ task name and save

Option 2

With this option, you can create a new project when you are adding time to the timer:

  1. Create a new time entry in My Timers
  2. Click on the first button “+ Client – Project – Task”
  3. Select a Client or Internal work line
  4. Type a project name and then click “ADD”

 

You can review and edit the added clients and tasks in the Manage section.

A project is a set of inter-dependent tasks that have a common goal.

Every company has different types of projects they would enter into Time Analytics.

A project can be internal or client-related.

  • An internal project is a project that relates to the company itself and isn’t billable. It can be a certain process in the company – Human Resources, Marketing, Accounting and Finance, etc.
  • A client-related project represents a specific service or an aggregate of similar services offered to clients

A task is a specific work assignment performed within a project. It is the smallest entry you can track time for in Time Analytics.

Examples:

Client-related projects (e.g. Law firm):

  • Client – Acme Inc.
  • Project – Labor Law
  • Task – Drafting a labor agreement

 

Client-related projects (e.g. Marketing agency):

  • Client – Acme Inc.
  • Project – Content preparation
  • Task – Drafting a blog article (or preparation of visuals)

 

Client-related projects (e.g. Accountancy business):

  • Client – Acme Inc.
  • Project – Monthly accounting services
  • Task – Recording of incoming invoices into the system

 

Internal projects:

  • Internal project – Marketing and sales
  • Task – Content and marketing material preparation, newsletters

 

  • Internal project – Administration
  • Task – Paperwork, scan printing

 

  • Internal project – Finding a new office
  • Task – Reviewing real estate advertisement

 

  • Internal project – Human Resources
  • Task – Interviewing and recruitment of new lawyers
